SalesMail videos are designed to be easy to view and share. Because of this:
SalesMail videos are not password protected
Anyone who receives a video link can view it
A recipient could forward the video link to someone else
Anyone with the link could access the video
For these reasons, SalesMail should never be used to record or share Protected Health Information (PHI).
PHI (Protected Health Information) includes any information that can identify an individual and relates to their health or healthcare services, such as:
Patient or resident names tied to medical details
Diagnoses, conditions, or treatment information
Medical record numbers
Insurance details
Any other personally identifiable health information
Do not record SalesMail videos that include:
Patient medical details
Health updates, diagnoses, or care plans
Insurance or billing information tied to an individual
Any sensitive or confidential health-related information
Even if the video is intended for a specific person, SalesMail videos should always be treated as shareable content.
SalesMail is ideal for:
General information and introductions
Tour follow-ups and scheduling messages
Educational or informational content that does not include PHI
Marketing, outreach, and relationship-building videos
Operational or non-medical communication
If a message includes PHI or sensitive personal health information:
Use your organization’s HIPAA-compliant communication tools
Avoid recording or sharing that information via video
If you’re unsure whether something is appropriate to include in a video, it’s best to leave it out.
